What is PROQUIS Enterprise?

Now, PROQUIS Enterprise takes all that history and experience and moves it to a new more powerful level offering granularity for functional detail and scalability to support the local, national, international and indeed true global organizations.

PROQUIS Enterprise is a modular web-browser based intranet software solution which is proven to enable companies across all business sectors to make significant savings in terms of both time and resources and, as a consequence, financially.

Proquis Enterprise handles document control, audit management, issues and actions and various other modules as each company sees fit, which means you take only the modules that benefit you. Each module can work alone or automatically integrate with each other to provide a comprehensive system.

What does PROQUIS actually do for your quality requirements?

PROQUIS Enterprise is a suite of integrated applications each designed to meet an aspect of the four key cornerstones of delivering a competent quality regime: -
The key cornerstones are -

  • Control documentation - Without the primary documents being structured, versioned and access controlled, easily accessible against permissions and easily authorized, then any quality or compliance system will struggle to meet its objectives and expectations
  • Continuous Improvement - Understanding your process and procedures, establishing the gap or deficiency inherent in that facet. Ensuring you are doing what you think you are doing, ensuring that that is accurate against the standard/specification required to be achieved.
  • Improvement Plans - Whether the CI actions are corrective, preventative or pure improvement, the need to ensure that each action is completed, verified and signed-off in a structure that records these events is key to a successful solution.
  • Management Information - If you have the infrastructure to monitor and handle the quality system then you will need to know where you are in your plan, what is outstanding, and who is doing what and by when. Flexible reporting, personalized to the individual manager, by the manger, on the “fly” is key to getting the right information to meet the demands of the job.

Each of the modules briefly overviewed below offer a specific element into the success of achieving the four cornerstones stated above. By combining one or more of the modules a QMS (Quality Management System) specific to your needs can be established and implemented to improve your environment, speed of delivery and effectiveness & robustness of that delivery.

    • Audit Management
      Auditing is a vital continuous improvement tool.  PROQUIS has a strong auditing application that offers organizations an extensive audit planner system for advance scheduling of all identified audits.  These audits could be of any type – quality, regulatory, third party, environmental, health and safety, internal or external. Clearly identified to-do lists provide automatic reminders of audits awaiting final planning, audits due, audits awaiting closure, completion/closure of non-conformities/issues, etc. Following the completion of audits, all associated audit details can be electronically recorded and immediately accessed as and when required.

    • Customer Care
      The Customer Care module within PROQUIS provides a fully comprehensive Customer Relations Management (CRM) system.  It provides full and immediate support for all sales, customer service and support staff.  The module offers all commonly required CRM features, including names, addresses, contact lists, subscriptions, correspondence records, reminders, quotes and orders and, in addition, a full complaint and service call management system (CMS).

    • Document Control
      Whilst the successful control of documentation is key, it is also one of the most difficult and time-consuming tasks facing any regulated organization today.  Documentation must be reviewed on a regular, defined basis, any required changes must be authorized, approved and all subsequent distribution of documentation must be carefully controlled as well as secure throughout the organization. PROQUIS both conforms to and surpasses all current quality regulated standards for electronic document control across the healthcare and aerospace industries, including FDA 21 CFR Part 11, ISO 9000, ISO 14000, TS 16949, Sarbanes-Oxley, etc. That may be procedures, manuals, sales documents, specifications or plans; PROQUIS can manage it for you.

    • Equipment Control
      Equipment Control enables an organization to successfully manage all equipment data. It allows you to maintain details of all equipments, including calibration and maintenance requirements, all completed checks (both internal and external) with detailed measurements and equipment movements both on site and between multiple sites/business units.  For calibrations, you can define the parameters to be measured for particular categories of equipment, and then set the ranges/readings to be taken for each item of equipment. Actual readings can then be compared to those expected, and PROQUIS will store the checks to form a full check history for each individual piece of equipment. For ‘unplanned’ maintenance tasks PROQUIS offers Equipment Maintenance Request (EMR), a maintenance request system that includes approval for jobs, associated actions, supplier quotes, etc. Finally, there is even a facility to complete Gauge R&R (repeatability & Reproducibility) studies using the average and mean method.

    • Health & Safety
      Extending the features of PROQUIS is the Health & Safety module. This provides the Accident Log for recording of any accidents, dangerous occurrences or incidents and ensures that these are investigated and reported correctly. In addition, with links to the Issues and Actions module for problem resolution and analysis, this area helps you ensure that recurrence is prevented. This is built on the requirements of RIDDOR in the UK and OSHA in USA, and is applicable for most statutory or regulatory reporting.

    • Issues and Actions
      This module enables you to successfully record, monitor and analyze all identified non-conformities and, more importantly, the corrective and preventive actions (CAPA) required to ensure that they never recur again in the future.  The Issues and Actions module provides very close integration with the rest of the system and is the centre for all problem resolution management.  In whichever module any issues are initially recorded (Audit Management, Customer Care, Management Review, etc) these are ALL immediately visible within this module.  As a result it provides an ideal centre for the monitoring and analysis of any issues which occur throughout an organization.
    • Management Review
      To ensure continued effectiveness of your systems, PROQUIS provides the Management Review Module. This not only lets you plan and record details of your management meetings and monitor corrective/preventive and improvement actions too. In addition, you can set targets for your Key Performance Indicators (KPI's) and monitor these monthly via the KPI dashboard. KPI's can be viewed globally or for your specific organization area.

    • Personnel Management
      PROQUIS Personnel Management Module provides details of your employees including name, location, department, reporting structure and much more. Indeed, this module gives you all the Personnel Management data and information that you should need outside of the pure payroll elements. Personnel Management is supplied with all purchases of the main PROQUIS system, the personnel section is required to run any of the other modules

    • Process Management
      Process module allows you to define the details of your processes, record and maintain process information. This includes description and objectives of each process, plus a list of related processes. Processes defined here can then be cross-referenced in your audit programme (in the Audit Management Module) to ensure that you have proper coverage of your processes.

    • Supplier Control
      The management of vendors and suppliers is a vital element in ensuring that the needs of your customers are met.  PROQUIS Enterprise Supplier Control provides the facility required to manage supplier relationships.  In addition to the standard features available in the Customer Care module, the ability to plan and record supplier evaluations (in unison with the Audit Management module), monitor supplier performance and track supplier problems and actions is also possible.
