Document Viewer has a look and feel that is matching the main PROQUIS Enterprise screens. This feature makes it more instinctive and user friendly.
Document History search is made easy in the version 3.0 that allows the search of document history by Authorization Reference.
Documents converted to PDF - In Version 3.0, when you select the option to View Live as PDF, PROQUIS will store not only the PDF version in Live (and later in Archive), but also stores a copy of the document in its native format (WORD, EXCEL, allCLEAR or whatever). This allows for the proper updating of the header as the document moves to Archive, and also in the exceptional circumstances when you need to recover an old version to use.
Highlight on changing Documents - Version 3.0 allows you to specify the documents in search lists or the Document Viewer to be highlighted if the document is in process of authorization/ release, or was released in the last 30 days. A separate color can be chosen if these fields need to be highlighted.
In Version 3.0, a number of new fields on the main issue details screen have been added…
Created Date -This field will be set automatically to today’s date when a new issue is entered and this will not be editable. The old Issue Date/ Time fields have been relabelled as Date Issue Occurred.
Issue Accepted Date - This new field will allow you to specify the date on which the issue was accepted by the person taking responsibility for its resolution. This can be useful, particularly during audits, when an issue is found and recorded today, but discussion with the responsible manager and his/her acceptance of it happens a couple of days later.
Issue Stage - In a new base table this allows you to define the stage of the issue (for example, OPEN, ACCEPTED, IN-PROGRESS, CLOSED). The definition of the issue stage in the base table allows the stage to force the entry of certain dates on the issue and can optionally require that the stage requires a sign-off. This sign-off option is only active if the issue itself requires a sign-off.
Requirements -This is a new notes field which appears before the problem description field and allows a definition of the requirement against which the problem or issue was found.
Evidence -This is a new notes field which appears after the problem description field and lets you record details of what evidence was found to support this issue. This is additional to the existing option to add an evidence document to the issue record (an uploaded physical document).
History -This is a new, read-only field which will automatically records key changes to the issue record, such as changes to dates, stages, notify to, severity and so on. This is the same basic functionality as already exists for the Action history and the Audit history in the previous versions of PROQUIS. The system maintains these details automatically and it cannot be edited by the users, thus forming an instantly visible audit trail of activity.
Issue Team and Sign-off - V3 introduces a new issue team tab allowing you to identify the people working on or involved in the issue. This also allows you to specify which of the team is required to sign-off the issue at point of closure. This review and sign-off (with password verification) is also a new feature of V3
Minimum number of Actions - when defining the issue, you can now specify the minimum number of actions (Corrective/Preventive or Improvement) that must be attached to the issue. This can also be driven by the Issue Notification rules to ensure that the more serious issues do have proper actions defined to resolve the problem.
Audit Details – Analysis A and B -The drop-down list shown for Analysis field A and B can now be separated to show a different list for each. This is a base table change, see details above. This gives more control for the list shown for Analysis A and B.
Audit Types - In Version 3.0, you can define the list of Audit Types, this list is moved to a user-defined Base table. This will allow you to define additional types of audit, surveillance or assessment as required. In addition, the audit type can be used to drive the use of a standard questionnaire for each type of audit. This just gives more flexibility over the types of audit to be recorded and will help with the speed of setup/ consistency of the audit questionnaire use.
Audit Details – Process reference/ID -The audit planner and audit main details screens now allow you to identify the specific Process ID that is being audited. The Process details will be maintained in the NEW Process Module in PROQUIS. This means that you can now make your audits more directly linked to your Process details and will allow easier reporting of the coverage of your processes by your audit programme.
Audit Home - Plan Graph -When displaying the audit plan graph, PROQUIS V3 now allows the user to select to display INTERNAL, EXTERNAL or ALL audits on the chart. The chart is also extended to show the first 3 months of the following year (to help track completion/ close of the year end audits during the following year)
Audit Issues - When recording issues against the audit, you can specify the auditee’s name and department on the issue. In Version 3.0, PROQUIS provides a simple drop-down list of the auditees known to be associated to this audit (via the audit subjects).
Audit Team - In Version 3.0, the position and department of the audit team members is taken and stored as a snap-shot when the person is added to the team. This means that if the person’s position or department changes at a later date, the audit team will show the details as they were at the time of being added to the team. You can also indicate if the person is a trainee. In addition, the audit team now allows user fields to be added for recording of any additional special information.
Cancelled Date/ Reasons – If you can set an audit stage to one that indicates the audit will not be completed (e.g. CANCELLED), PROQUIS allows recording of the cancel date and reason for cancellation.
Customer – More Details: In Version 3.0, few fields previously separated into a more details page have now been combined onto the main details page of the customer to make these more immediately visible and editable.
Contacts - When adding contact names to customer records, PROQUIS now provides separate fields to enter the person’s title, first name, initial and last name. As these are entered, PROQUIS populates the contact name field automatically. This should help to provide more consistent structure for contact names and will also help with searching.
Personnel Details - When adding personnel details, the Title field will be offered as a dropdown list (such as Mr, Mrs, Miss, etc). This list is populated from the base table menu / Personnel / Personnel Codes.
QA-Person specification – Version 3.0 will now allow you to specify that an individual is a QA (Quality Assurance) person. This is similar to the indication that someone is an Auditor and is used particularly in the Issues and Actions module when an issue requires a QA sign-off.
Training Events - When adding training events, you can now specify the duration of the training in MINUTES, previously the smallest increment available in the drop-down list was HOURS.
Equipment Checks - At the end of an equipment check, PROQUIS offers to update the check plans for any overdue checks. In Version 3.0 the system also offers to update details on check plans that are not yet overdue.
Meeting Minutes - A new “Item No.” field has been added to the meeting minutes. This allows you to define a sequence or item number for each entry in the minutes and PROQUIS will sort the minutes by this item number.
GRN/ GRN Lines - The user can now record serial/ batch numbers when recording goods inwards details. In addition, if a particular GRN line entry includes rejected quantity, the system will prompt you to raise an issue for the rejected parts.
Supplier Issues - For PROQUIS Version 3.0, you can now associate supplier correspondence to the supplier-source issues. This can be done either via the Issues and Actions Module, or via the supplier issues in the supplier module. This operates like the customer correspondence on the customer-source issues.
PROQUIS Version 3.0 introduces a new module for Process detail definitions. It will allow you to relate specific Processes to Audits. The new module lets you confirm to the audit programme coverage and meet the external as well as internal requirements, thus making it possible for each Process to be related to the requirements reference, a series of other processes such as input, output or sub- processes, a series of documents and multiple hierarchies.
